Privacy Policy

This Privacy Policy explains how EstiBill ("we", "us", "the App"), a digital software service for estimates, quotations and invoices, collects, uses, stores and protects information when you use our estimate, quotation and invoice management application. By creating an account or using EstiBill, you agree to the collection and use of information as described here.

1. Account Details

When you register, we collect your name, email address, mobile number and a securely hashed password. We never store your password in plain text — it is hashed using industry-standard one-way hashing before being saved.

2. Business Profile

We store the business details you provide — business name, contact information, address, GST details, document numbering preferences, and terms/services text — so they can be printed on your Estimates, Quotations and Invoices.

3. Customer Data

We store the customer records you create — name, mobile number, city and address — solely so you can generate documents for them. This data belongs to your account and is never shared with other EstiBill users.

4. Estimates, Quotations, Invoices & PDF Data

Documents you create — including categories, measurement rows, rates, totals, notes and terms — are stored against your account. Generated PDFs are produced on our servers from this saved data and are only accessible to you, or to someone you explicitly share a document with via a secure, randomly-generated share link (used for WhatsApp sharing and direct PDF links). This link is not guessable and is not published anywhere, but it does not expire once created — treat it the same way you would treat sharing the PDF file itself: anyone who has the link can view that document.

5. Sessions, Device Security & Cookies

We use secure HTTP-only cookies to keep you signed in and to assign a first-party device identifier used for account-abuse prevention. For anti-fraud matching, we store keyed hashes derived from the signup mobile number, device identifier and network address. Authentication rate-limiting records may also temporarily contain network address identifiers. These signals are used to enforce Free-plan limits, detect repeated account creation and protect the service. We do not use third-party advertising or tracking cookies.

6. Razorpay & Payment Processing

Paid plan payments are processed by Razorpay, a third-party payment gateway. EstiBill does not collect, see, or store your card number, UPI ID, netbanking credentials, or any other payment instrument details — these are entered directly with Razorpay. We store only the payment result relevant to your subscription: plan, amount, Razorpay order/payment ID, and status.

7. How We Use Your Data

• To provide and operate the estimate/quotation/invoice features you use
• To generate and deliver PDF documents
• To process subscription payments and activate paid plans
• To provide customer support when you contact us
• To maintain account security, enforce Free-plan limits and prevent repeated-account misuse

8. Third-Party / Service-Provider Sharing

We share the minimum necessary data with trusted service providers required to operate EstiBill: our hosting provider (to run the application and database), and Razorpay (to process payments). We do not sell your data or share it with advertisers.

9. Security

Passwords are hashed, not stored in plain text. Sensitive configuration such as payment gateway secrets is encrypted at rest. Access to your account data is restricted to your own logged-in session — every contractor account is isolated from every other.

10. Data Retention

We retain your account, business profile, customer and document data for as long as your account remains active, so your historical Estimates, Quotations and Invoices stay accessible to you.

11. Account & Data Deletion Requests

You may request deletion of your account and associated data at any time using our public Account & Data Deletion page. You may also contact us at MyEstiBill@gmail.com. We process verified deletion requests in accordance with applicable law.

12. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting us. You can also update most account and business profile details yourself at any time from within the app.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
